Build the checklist around assets and risk
For each asset, record its location, identifier, responsible party, inspection or service frequency, manufacturer guidance, warranty requirements, last service, open deficiencies, and the action that closes a task. Group critical life-safety and business-continuity systems separately from routine appearance work.
Common planning groups
- Roof, drainage, walls, windows, sealants, and visible water entry
- HVAC, controls, plumbing, water heating, and electrical distribution
- Fire protection, emergency systems, doors, access control, and security
- Elevators, loading equipment, overhead doors, and specialty systems
- Parking, sidewalks, lighting, landscaping, fencing, and drainage
- Janitorial, floor care, pest control, waste areas, and occupied-space conditions
Use service visits to improve the record
Require reports to identify the asset, tasks completed, readings or observations, deficiencies, photos when useful, recommended priority, and follow-up owner. Avoid closing a task solely because a vendor visited the site.
Review open work on a regular cadence
Separate urgent corrections, planned operating work, warranty items, and capital projects. Assign an owner and target date, then use the history to spot repeat failures and prepare better scopes for future contractor bids.
